The challenge
The company's 3PL platform generates billing charges on behalf of warehouse operators — storage fees, handling fees, and value-added service charges — within its billing manager module. For warehouse operators using QuickBooks Online for accounting, these charges needed to be manually re-entered as invoices in QBO, creating a time-consuming billing workflow that introduced reconciliation risk and delayed invoice issuance to 3PL customers.
What we built
- Built a billing manager connector between The company's 3PL platform and QuickBooks Online that automatically creates QBO invoices from billing charges generated in the team
- Implemented charge type mapping from The company billing categories to corresponding QBO invoice line items, products, and services for accurate financial classification
- Configured customer record synchronization between The company and QBO so 3PL client billing profiles were consistent across both systems without duplication
- Built billing period batch processing logic to aggregate The company charges by billing cycle and create correctly dated QBO invoices aligned with warehouse billing periods
- Established error handling and exception alerting to notify warehouse operators of any billing records that failed to post to QBO for review

- 3PL billing workflow automated end-to-end, eliminating manual invoice creation in QuickBooks Online from The company billing records
