The challenge
The company sells heavy commercial gym equipment that requires careful carrier coordination for freight and parcel shipments. Their Brightpearl order management system was not connected to UPS, forcing warehouse staff to manually create shipments in UPS, then return to Brightpearl to enter tracking numbers and update order status. For a business shipping bulky, high-value equipment, this manual handoff created delays, introduced data entry errors, and made shipment visibility unreliable.
What we built
- Integrated Brightpearl with UPS to automatically generate UPS shipments and retrieve tracking numbers directly from fulfilled orders in Brightpearl
- Configured shipment creation rules to support multiple UPS service levels appropriate for parcel and freight shipments of gym equipment
- Built automated tracking number write-back into Brightpearl so order records are updated immediately upon label generation without manual entry
- Implemented delivery status polling from UPS so Brightpearl order records reflect real-time shipment progress through to delivery confirmation
- Added exception handling for shipment creation failures to alert operations staff before carrier deadlines are missed
The outcome
- Eliminated manual UPS shipment creation and tracking entry for warehouse staff, reducing per-order processing time significantly
- Improved shipment data accuracy in Brightpearl by removing manual transcription of tracking numbers
- Provided real-time delivery visibility within Brightpearl, enabling proactive customer communication on high-value equipment orders
