    Connect NetSuite + ShipStation

Automate order release, ship-to address and service level, shipment and tracking, item fulfilment record, shipping charge reference between NetSuite and ShipStation — with monitoring and managed support from APIWORX.

    See How It Works

APIWORX connects the systems your business already uses and takes responsibility for the agreed integration workflows after go-live. The exact objects, direction and cadence are fixed in writing during scoping.

    APIWORX Provides the Service

Yes. APIWORX connects NetSuite and ShipStation.

But connecting the applications is only the beginning. The work that costs you time sits in the process running between them.

APIWORX automates that process end to end — the objects moving between NetSuite and ShipStation, the ownership rules that decide which system wins, the exceptions when a record will not post, and the monitoring that tells someone before your team finds out from a customer.

    Who this is for

This page is for operations and fulfilment teams running NetSuite as the order system of record while shipping is executed in ShipStation.

What needs to be in place

    • NetSuite with API access and a service role permitted to read orders and create or update fulfilments.
    • A ShipStation account with the stores, warehouses and carrier services already configured.
    • An agreed rule for which NetSuite orders are eligible to ship and when they are released.
    • A named operations contact for hold, partial-shipment and cancellation decisions.

When you may not need this

A single warehouse with modest daily volume can be run with manual exports or a basic connector. Integration earns its place once multiple warehouses, partial shipments or tracking-accuracy problems create standing rework.

    What is out of scope

    • Carrier accounts, negotiated rates and service availability remain yours; we move data, we do not resell shipping.
    • Which charge values are posted to the ERP — and whether they come from the shipping platform or the carrier invoice — is confirmed in scoping.
    • Rate shopping and packing logic stay in the shipping or warehouse platform unless a specific rule set is agreed as integration scope.
    • Customs, duty and international documentation requirements are assessed per lane before any commitment.

What actually moves, and who owns it

A representative scope. Exact records, statuses and charge handling are confirmed before build.

Three decisions that make or break this integration

An order ships in two parcels on different days

Partial shipments are the usual reason tracking data stops matching the order. Each shipment is written back against the lines it covers rather than closing the whole order on the first label.

    • Line-level quantities recorded per shipment.
    • Remaining quantities stay open and eligible for release.
    • The order closes only when the agreed completion rule is met.

A label cannot be created because the address fails validation

Rather than leaving a silent gap between systems, the order is held with the specific reason so the correction happens once, in NetSuite.

    • Validation failures logged against the NetSuite order reference.
    • APIWORX reprocesses the original order after correction.
    • Repeat address-quality patterns raised as a process change.

    Volume moves between warehouses

Warehouse and store mappings are configuration, so shifting fulfilment between locations does not require rebuilding the integration.

    • Location mappings maintained as part of the engagement.
    • Service-level rules kept per warehouse.
    • Exceptions labelled with the warehouse they came from.

    Reliability and ownership

The operating rules that apply to this workflow after go-live.

    • Every shipment message is logged with the source order reference so a parcel can be traced back to its order.
    • Failed writebacks are retried on a defined schedule; anything still failing is held in an exception queue rather than silently dropped.
    • Duplicate prevention keys on the order number and shipment identifier so a replay does not create a second fulfilment.
    • Exceptions are worked by the APIWORX team and escalated to your named contacts when a business decision is needed.
    • New warehouses, carriers, service levels and store mappings are handled as configuration work inside the ongoing engagement.
    • Support windows and response commitments live in your agreement; this page does not state an SLA.

    How a shipment is traced

    Illustrative — not customer data

An illustrative reference trace from NetSuite order through label to fulfilment record.

    How a shipment is traced
NetSuite sales order number ShipStation order reference
    NetSuite location ShipStation warehouse
ShipStation label and tracking number NetSuite item fulfilment
Shipment confirmation timestamp Fulfilment record date

    Scope and questions

Do you post shipping costs into NetSuite?
Only when the charge data is available and the accounts are agreed in scoping. We do not assume carrier invoice reconciliation is in scope.
    Can you handle multiple warehouses?
Yes — location and store mappings are configuration maintained inside the engagement.
What happens to cancellations after release?
Cancellation handling is an agreed rule: either blocked after label creation or reconciled as a return, depending on your process.
    Who owns exceptions?
APIWORX works the queue and escalates to your named contacts when a business decision is required.
