    Who this is for

    This page is for finance and fulfilment teams shipping from ShipStation while Sage Intacct holds orders, invoicing and the ledger.

    What needs to be in place

    • Sage Intacct with API access and a service user permitted to read orders and post the transactions in scope.
    • A ShipStation account with the stores, warehouses and carrier services you actually ship on.
    • Agreed rules for which Sage Intacct orders are shippable and when they release.
    • Accounts and dimensions for freight and shipping charges, where those are posted.

    When you may not need this

    If your channels feed ShipStation directly and finance only needs monthly totals, a lighter setup may be enough. This is for teams where order state in Intacct and shipping state in ShipStation need to agree daily.

    What is out of scope

    • Which charge data is available depends on your ShipStation plan and carrier setup; the fields in scope are confirmed before build.
    • APIWORX does not negotiate carrier rates or manage your carrier accounts.
    • Label formats, packaging and rate shopping rules remain your warehouse's decisions; the integration supplies the data they need.
    • Sage Intacct is not an order-management system; where order orchestration is needed beyond its capability, scoping says so.

    Three decisions that make or break this integration

    An order is not shippable yet

    Only orders in the release state you define are sent to ShipStation, so the warehouse queue is not filled with orders that finance has not cleared.

    • Release rules agreed in scoping and applied consistently.
    • Orders missing address or item detail are held with the gap named.
    • Held orders are sent automatically once corrected.

    A shipment ships in two parcels

    Multi-parcel shipments are returned as they happened, with each tracking number carried back against the same Sage Intacct order.

    • All tracking numbers retained, not just the first.
    • Partial shipments leave the balance open on the order.
    • Duplicate prevention keys on the shipment identifier.

    Freight charges land where finance expects

    Where charge data is available from ShipStation and in agreed scope, it is posted to the accounts and dimensions your finance team nominates with the shipment reference attached.

    • Charge fields and target accounts confirmed before build.
    • Missing charge data held for review rather than posted as zero.
    • Carrier invoice reconciliation remains a finance activity.

    Reliability and ownership

    The operating rules that apply to this workflow after go-live.

    • Every shipment message is logged with the source order reference so a parcel can be traced back to its order.
    • Failed writebacks are retried on a defined schedule; anything still failing is held in an exception queue rather than silently dropped.
    • Duplicate prevention keys on the order number and shipment identifier so a replay does not create a second fulfilment.
    • Exceptions are worked by the APIWORX team and escalated to your named contacts when a business decision is needed.
    • New warehouses, carriers, service levels and store mappings are handled as configuration work inside the ongoing engagement.
    • Support windows and response commitments live in your agreement; this page does not state an SLA.

    Scope and questions

    Do shipping charges post automatically?
    Only where the charge data is available from your ShipStation setup and you have agreed the accounts. Otherwise the shipment posts without a charge rather than guessing a value.
    Can several warehouses run at once?
    Yes. Warehouse and ship-from mappings are configured per location.
    Does this replace our channel connections to ShipStation?
    Not necessarily. If channels already feed ShipStation, scoping decides which system owns the order so records do not duplicate.
    Who owns exceptions?
    APIWORX works the queue and escalates to your named contacts when a business decision is required.
