Connect Brightpearl + Extensiv 3PL Warehouse Manager

Automate sales order release, item and sku mapping, shipment confirmation and tracking, purchase order / asn, receipt confirmation between Brightpearl and Extensiv 3PL Warehouse Manager — with monitoring and managed support from APIWORX.

    See How It Works

APIWORX connects the systems your business already uses and takes responsibility for the agreed integration workflows after go-live. The exact objects, direction and cadence are fixed in writing during scoping.

    APIWORX Provides the Service

Yes. APIWORX connects Brightpearl and Extensiv 3PL Warehouse Manager.

But connecting the applications is only the beginning. The work that costs you time sits in the process running between them.

APIWORX automates that process end to end — the objects moving between Brightpearl and Extensiv 3PL Warehouse Manager, the ownership rules that decide which system wins, the exceptions when a record will not post, and the monitoring that tells someone before your team finds out from a customer.

    Who this is for

This page is for operations teams running Brightpearl as the order and inventory system with fulfilment executed in Extensiv 3PL Warehouse Manager — whether you run the warehouse or your 3PL does.

What needs to be in place

    • Brightpearl with API access and a service account permitted to read orders and post shipments.
    • An Extensiv 3PL Warehouse Manager account, with the customer and facility records already in place.
    • Agreement from the warehouse operator that integration access is available on your account.
    • A named operations contact for short-ship, backorder and receipt discrepancy decisions.

When you may not need this

A single facility with low volume and no stock ownership questions can often be handled with file exchange. Managed integration earns its place when several facilities, recurring receipt discrepancies or reconciliation work make manual handling a standing cost.

    What is out of scope

    • Extensiv publishes more than one product; which one your warehouse runs — and therefore which interface applies — is confirmed in scoping before any commitment.
    • APIWORX does not operate the warehouse, set your storage and handling rates, or negotiate with your 3PL.
    • Warehouse billing data is only brought into scope where it is available on your account and the treatment is agreed with your finance team.
    • Lot, serial and expiry handling depend on how the warehouse records them; behaviour is confirmed before build.

What actually moves, and who owns it

A representative scope. Exact records, stock ownership and any billing data are confirmed before build.

Three decisions that make or break this integration

    The warehouse ships short

Short shipments are recorded line by line, so Brightpearl reflects what actually left rather than a completed order, and the remaining quantity follows your agreed backorder rule.

    • Line-level quantities written back per shipment.
    • Remaining quantity kept open or cancelled per your rule.
    • Repeat short-ships surfaced as a stock accuracy issue, not just an exception.

    Warehouse stock and Brightpearl disagree

Rather than overwriting silently, variances are reported with both values and the timestamp, so the cause is fixed once instead of every week.

    • One agreed source of stock truth per location.
    • Variance reports with reference detail.
    • Adjustments posted only on rules your team approves.

    A second facility comes online

Facilities, item mappings and release rules are configuration maintained inside the engagement, so adding a location is a change request rather than a rebuild.

    • Per-facility mappings kept separate.
    • Release rules extended, not duplicated.
    • Exceptions labelled with the facility they came from.

    Reliability and ownership

The operating rules that apply to this workflow after go-live.

    • Every run is logged with the source record reference so a document can be traced end to end.
    • Failed messages are retried on a defined schedule; anything still failing lands in an exception queue rather than being dropped silently.
    • Duplicate prevention keys on the source system's own identifier so a replayed message does not create a second record.
    • Exceptions are worked by the APIWORX team and escalated to your named contacts when a business decision is needed.
    • Mapping changes — new SKUs, new accounts, new locations, new partner requirements — are handled inside the ongoing engagement.
    • Support windows and response commitments live in your agreement; this page does not state an SLA.

    Scope and questions

Which Extensiv product does this cover?
Extensiv publishes several products. We confirm which one your warehouse operates, and therefore which interface applies, during scoping — before anything is committed.
Does Brightpearl or the warehouse own stock?
One agreed source per location, decided in scoping. Variances are reported rather than silently overwritten.
Can warehouse billing come into Brightpearl?
Only where the data is available on your account and your finance team agrees the treatment.
    Who works exceptions?
APIWORX works the queue and escalates to your named contacts when a business decision is needed.
