The challenge
The company distributes HVAC equipment through a WooCommerce B2B dealer portal, but dealer orders, invoices, and customer account data were disconnected from their Sage Intacct ERP. Staff manually transferred order information between systems, introducing delays in fulfillment confirmation and creating discrepancies in accounts receivable. As dealer order volume grew, the manual process became an operational constraint.
What we built
- Integrated WooCommerce with Sage Intacct to automatically push confirmed dealer orders into the ERP as sales orders upon placement
- Built bidirectional customer and account synchronization so dealer profiles, credit terms, and billing details stay consistent across both platforms
- Automated invoice generation in Sage Intacct triggered by WooCommerce order status changes, eliminating manual AR entry
- Configured product catalog and pricing synchronization from Sage Intacct to WooCommerce so dealer-specific pricing is always current on the storefront
- Implemented shipment and fulfillment status callbacks from Sage Intacct back to WooCommerce so dealers receive accurate order tracking information
The outcome
- Removed manual order transfer between WooCommerce and Sage Intacct, enabling same-day order processing for dealer accounts
- Eliminated accounts receivable discrepancies caused by duplicate or missed manual data entry
- Gave the operations team a single source of truth for dealer order status, inventory, and invoicing
- Scaled dealer order handling capacity without adding administrative headcount
