    Connect Sage Intacct + Coupa

Automate purchase order, order acknowledgement, advance ship notice, invoice, catalogue / price file between Sage Intacct and Coupa — with monitoring and managed support from APIWORX.

    See How It Works

APIWORX connects the systems your business already uses and takes responsibility for the agreed integration workflows after go-live. The exact objects, direction and cadence are fixed in writing during scoping.

    APIWORX Provides the Service

Yes. APIWORX connects Sage Intacct and Coupa.

But connecting the applications is only the beginning. The work that costs you time sits in the process running between them.

APIWORX automates that process end to end — the objects moving between Sage Intacct and Coupa, the ownership rules that decide which system wins, the exceptions when a record will not post, and the monitoring that tells someone before your team finds out from a customer.

    Who this is for

This page is for finance and order-management teams selling to buyers who transact through Coupa, with Sage Intacct as the accounting system of record.

What needs to be in place

    • An active supplier relationship with one or more Coupa-enabled buyers.
    • Sage Intacct with API access and a service user permitted to create the transactions in scope.
    • Agreed accounts and dimensions for buyer revenue and any deductions.
    • A named contact for pricing and catalogue questions your buyers raise.

When you may not need this

A single buyer sending a handful of orders can be worked directly in the portal. Integration earns its place when buyer count, transaction volume or invoice-rejection rework has become a standing cost.

    What is out of scope

    • Scope here is supplier-side: receiving buyer transactions and returning your documents. Buyer-side Coupa procurement configuration is out of scope.
    • The transaction path — cXML, EDI or another supported route — is confirmed per buyer in scoping.
    • PunchOut catalogue hosting is not claimed on this page; if a buyer requires it, it is assessed separately.
    • APIWORX does not negotiate buyer terms, pricing or supplier programme requirements on your behalf.

What actually moves, and who owns it

A representative supplier-side scope. Exact transactions and formats are confirmed per buyer before build.

Three decisions that make or break this integration

A buyer changes a purchase order after you confirmed it

Change documents are matched to the original Sage Intacct order rather than creating a second one, so your fulfilment and billing stay on a single reference.

    • Changes applied against the buyer's own PO number.
    • Quantity or price changes that breach agreed tolerances are held for your decision.
    • Cancellations after shipment are escalated, never silently applied.

An invoice is rejected for a match failure

Coupa rejections usually mean the invoice, order and receipt do not agree. Rejections come back with the reason and the Sage Intacct reference, so finance corrects once.

    • Rejection reasons logged against the original invoice reference.
    • Corrected invoices resubmitted after your approval.
    • Repeat causes raised as a mapping or process change.

Catalogue and price updates run on a schedule

Where a buyer accepts catalogue or price files, updates are published on an agreed cadence from the source your commercial team owns.

    • Cadence and source file agreed in scoping.
    • Failed publishes retain the previous good file rather than emptying the catalogue.
    • Content ownership stays with your commercial team.

    Reliability and ownership

The operating rules that apply to this workflow after go-live.

    • Every document is logged with its control reference and the trading partner it belongs to, so a transaction can be traced end to end.
    • Failed documents are retried on a defined schedule; anything still failing is held in an exception queue rather than partially processed.
    • Duplicate prevention keys on the partner's own purchase order or document identifier.
    • Exceptions are worked by the APIWORX team and escalated to your named contacts when a business decision is needed.
    • New partners, new document types and changed requirements are handled as mapping work inside the ongoing engagement.
    • Support windows and response commitments live in your agreement; this page does not state an SLA.

    Scope and questions

    Is this buyer-side or supplier-side?
Supplier-side. We connect the transactions your buyers send you and return your acknowledgements, ship notices and invoices. Configuring Coupa as a buying organisation is out of scope.
    Which transaction format is used?
Confirmed per buyer in scoping. Coupa buyers differ in whether they expect cXML, EDI or another supported route.
    Do you support PunchOut?
Not claimed here. If a buyer requires PunchOut catalogue hosting, it is assessed separately before any commitment.
    Who owns exceptions?
APIWORX works the queue and escalates to your named contacts when a business decision is required.
