Automate purchase order (850), invoice (810), customer / vendor-code mapping, item and cost mapping, deductions / chargebacks between Amazon Vendor Central and QuickBooks Online — with monitoring and managed support from APIWORX.

    See How It Works

APIWORX connects the systems your business already uses and takes responsibility for the agreed integration workflows after go-live. The exact objects, direction and cadence are fixed in writing during scoping.

    APIWORX Provides the Service

Yes. APIWORX connects Amazon Vendor Central and QuickBooks Online.

But connecting the applications is only the beginning. The work that costs you time sits in the process running between them.

APIWORX automates that process end to end — the objects moving between Amazon Vendor Central and QuickBooks Online, the ownership rules that decide which system wins, the exceptions when a record will not post, and the monitoring that tells someone before your team finds out from a customer.

    Who this is for

For finance teams invoicing Amazon as a first-party vendor while keeping the books in QuickBooks Online.

What needs to be in place

    • An active Amazon Vendor Central account with vendor codes confirmed.
    • QuickBooks Online with an authorised connection and a chart of accounts ready for wholesale revenue and deductions.
    • An operational process that produces shipment detail — QBO does not.
    • A named finance owner to approve mapping and deduction treatment.

When you may not need this

A few POs a month can be invoiced by hand. This work pays for itself when invoice volume grows, when deductions start eroding margin invisibly, or when nobody can tie an Amazon remittance back to specific invoices.

    What is out of scope

    • This is vendor (1P) wholesale, not Seller Central marketplace settlement. The two are scoped separately.
    • Chargeback and deduction disputes remain yours to file; the integration makes them evidenced.
    • Whether remittance matching is in scope is confirmed with you — it depends on the data your account exposes.

What actually moves, and who owns it

Three decisions that make or break this integration

    Vendor invoice mapping

Amazon matches your invoice against its own purchase order and receipt. Any drift in cost, quantity or reference becomes a deduction, so the invoice has to be built from the same data as the shipment.

    • One QBO customer per vendor code, so revenue and receivables split correctly.
    • Amazon PO number carried on every invoice for matching.
    • Cost per line taken from the agreed mapping rather than retyped.
    • Shipped quantities reconciled to invoiced quantities before submission, where the data allows.

    Credits, deductions and remittance

Deductions are where vendor margin quietly disappears. Bringing them into QuickBooks Online with a reason and a link to the original invoice makes them visible in the month they happen.

    • Deduction categories mapped to accounts your finance owner nominates.
    • Credits posted against the original invoice, not as loose journal entries.
    • Remittance matched to invoices where the data is in scope; unmatched amounts queued for review.
    • Nothing is written off automatically — a plug is a decision, not a default.

    Reconciliation and unresolved differences

Some differences cannot be resolved by data alone. What matters is that they are visible, quantified and attributable rather than absorbed into a rounding line.

    • Every invoice traceable from PO to shipment to remittance.
    • Open differences listed with their age, so disputes are filed while they can still be won.
    • Exception queue reviewed by APIWORX; commercial calls escalate to your named contact.
    • Vendor activity kept separate from any Seller Central settlements you also run.

    Reliability and ownership

Vendor accounting fails on silence and mismatch. These arrangements target both.

    • Every run is logged with the source record reference so a document can be traced end to end.
    • Failed messages are retried on a defined schedule; anything that still fails lands in an exception queue rather than being dropped silently.
    • Duplicate prevention keys on the source system's own identifier (order number, PO number, document ID) so a replayed message does not create a second record.
    • Exceptions are worked by the APIWORX team and escalated to your named contacts when a business decision is needed.
    • Mapping changes — new SKUs, new accounts, new dimensions, new trading-partner requirements — are handled as part of the ongoing engagement.
    • Response commitments and support windows are set in your agreement; this page does not state an SLA.

    Scope and questions

Is this the same as Amazon Seller Central accounting?
No. Vendor Central is wholesale invoicing to Amazon; Seller Central involves marketplace settlements and fees. Mixing them makes revenue impossible to explain, so we keep them separate.
    Can you post deductions automatically?
Where remittance data is available and in scope, deductions are mapped to accounts you nominate. Unmatched amounts are queued rather than absorbed.
Does QuickBooks Online handle the shipment notice?
No. Shipment detail comes from your warehouse or 3PL; QBO holds the accounting record.
Do we need one QBO customer per vendor code?
That is the usual approach because it keeps receivables and revenue attributable. Your finance owner confirms it in scoping.
    Will this stop chargebacks?
No integration stops Amazon raising deductions. What it does is make each one traceable to a PO, shipment and invoice so you can dispute it with evidence.
    How is scope determined?
From the transactions in play, vendor codes, remittance handling and the ongoing support level you want.
