The challenge

The company operates multiple fuel retail locations running Passport POS, the industry-standard point-of-sale and fuel management system. Consolidating high-volume daily transaction data from Passport into Sage Intacct for financial management, compliance reporting, and multi-site accounting required either significant manual effort or a reliable automated integration built for the petroleum retail context.

What we built

• Built a custom integration between Passport POS and Sage Intacct tailored to petroleum retail transaction structures
• Automated daily batch transfer of fuel and convenience store POS transaction data from Passport into Sage Intacct
• Mapped Passport transaction categories (fuel grades, convenience items, forecourt sales) to the appropriate Sage Intacct GL accounts
• Implemented multi-site support so transactions from all retail locations flow into a consolidated Sage Intacct entity structure
• Created reconciliation reporting to validate that Passport and Sage Intacct totals align across all locations and transaction types

The outcome

• Eliminated manual consolidation of POS data across fuel retail locations into Sage Intacct
• Accelerated period-end close by automating transaction posting from Passport
• Improved compliance reporting accuracy with reliable, automated fuel retail financial data
• Gave management consolidated multi-site financial visibility without manual data aggregation
