Connect BigCommerce + QuickBooks Enterprise / Desktop

Automate storefront order → sales receipt or invoice, customer record, item mapping, discounts and shipping income, refund / credit memo between BigCommerce and QuickBooks Enterprise / Desktop — with monitoring and managed support from APIWORX.

    See How It Works

APIWORX connects the systems your business already uses and takes responsibility for the agreed integration workflows after go-live. The exact objects, direction and cadence are fixed in writing during scoping.

    APIWORX Provides the Service

Yes. APIWORX connects BigCommerce and QuickBooks Enterprise / Desktop.

But connecting the applications is only the beginning. The work that costs you time sits in the process running between them.

APIWORX automates that process end to end — the objects moving between BigCommerce and QuickBooks Enterprise / Desktop, the ownership rules that decide which system wins, the exceptions when a record will not post, and the monitoring that tells someone before your team finds out from a customer.

    Who this is for

This page is for finance teams keeping the books in QuickBooks Desktop or Enterprise while BigCommerce takes the orders.

What needs to be in place

    • BigCommerce with API credentials scoped to orders, products, customers and refunds as required.
    • A QuickBooks Desktop or Enterprise company file that is reachable for integration, and confirmation of how it is hosted.
    • Agreed accounts and items for storefront revenue, discounts, shipping income, refunds and payment clearing.
    • A finance owner for posting grain and customer treatment decisions.

When you may not need this

A handful of orders a week can reasonably be entered by hand. This earns its place when order volume makes manual entry unreliable, when refunds and multiple payment methods have to reconcile, or when the person doing the rekeying has become a single point of failure.

    What is out of scope

    • We do not host, upgrade or administer your QuickBooks company file.
    • Tax determination stays with your advisors; we post to the codes and items you nominate.
    • Desktop connectivity depends on how your company file is hosted and accessed; the exact method and any prerequisites are confirmed in scoping before commitment.

Three decisions that make or break this integration

What an order becomes in QuickBooks

Desktop files reward restraint. The choice between a sales receipt per order, an invoice with payment applied, or a daily summary transaction changes both the size of the file over time and how easily your bookkeeper can reconcile it, so it is settled before build rather than after.

    • Posting grain agreed explicitly: per order, or summarised by day and payment method.
    • Named customers only where you want them; otherwise a summary customer keeps the list manageable.
    • The BigCommerce order ID written to a memo or reference field so support can trace it.
    • Classes used where you already use them for channel reporting.

    Payment methods, fees and reconciliation

The reconciliation, not the order sync, is where storefront-to-QuickBooks projects usually fail. Multiple gateways settle on different schedules and net out fees, so each stream gets its own clearing treatment instead of being forced into one deposit line.

    • Per-method clearing accounts so each settlement stream reconciles independently.
    • Processing fees posted to nominated accounts where the provider data exposes them.
    • Unmatched settlement amounts held for review rather than forced to balance.
    • Exceptions worked by the APIWORX team with the underlying detail attached.

Desktop realities: file locks, hosting and cut-off

QuickBooks Desktop is not an always-available cloud API, and an integration that ignores that produces silent gaps. Posting windows, retry behaviour and period cut-off are agreed so the connection behaves predictably around backups, updates and month end.

    • Posting windows scheduled around file availability rather than assuming constant access.
    • Retries with held exceptions when the file is locked or unreachable, so nothing is lost.
    • Period cut-off treatment agreed with finance so close is repeatable.
    • Duplicate protection keyed on the BigCommerce order ID for orders that change status repeatedly.

    Reliability and ownership

The operating rules that apply to this workflow after go-live.

    • Every posting is logged against the source order, document or settlement reference so finance can trace a ledger line back to the channel record.
    • Failed postings are retried on a defined schedule; anything still failing is held in an exception queue rather than posted partially.
    • Duplicate prevention keys on the source system's own identifier, so a replayed message cannot create a second transaction.
    • Exceptions are worked by the APIWORX team and escalated to your named finance contacts when an accounting decision is needed.
    • New SKUs, accounts, dimensions, fee types and deduction codes are handled as mapping maintenance inside the ongoing engagement.
    • Support windows and response commitments live in your agreement; this page does not state an SLA.

    Scope and questions

Does this work with QuickBooks Desktop as well as Enterprise?
Both are in scope in principle. Because Desktop connectivity depends on how the company file is hosted and accessed, we confirm your specific setup and any prerequisites during scoping before committing to an approach.
Can you post summary transactions instead of one per order?
Yes, and at volume that is usually the better choice for a Desktop file. We agree the grain your reporting and reconciliation need before build.
What happens if the company file is unavailable?
The work is retried within the agreed window and held as a named exception if it still cannot post. Nothing is dropped silently.
What if a BigCommerce SKU has no QuickBooks item?
The line raises an exception naming the SKU. Nothing posts to a placeholder item.
