    APIWORX Provides the Service

Yes. APIWORX connects Sage Intacct and Amazon Vendor Central.

But connecting the applications is only the beginning. The work that costs you time sits in the process running between them.

APIWORX automates that process end to end — the objects moving between Sage Intacct and Amazon Vendor Central, the ownership rules that decide which system wins, the exceptions when a record will not post, and the monitoring that tells someone before your team finds out from a customer.

    Who this is for

This page is for finance and supply-chain teams selling to Amazon as a wholesale vendor while Sage Intacct holds the ledger.

What needs to be in place

    • An active Amazon Vendor Central account, with the programme you trade under identified.
    • Sage Intacct with API access and a service user permitted to create the documents in scope.
    • Agreed accounts and treatment for vendor invoices, allowances, chargebacks and shortage claims.
    • A warehouse or 3PL able to act on released orders and return the detail an ASN requires.

When you may not need this

A vendor relationship with a handful of POs a month can be worked in the portal. This is for teams where PO volume, deduction volume or invoice disputes have become a recurring cost.

    What is out of scope

    • This page covers Amazon wholesale. Third-party seller activity is a different flow — see the Sage Intacct + Amazon Seller Central page.
    • APIWORX does not negotiate your vendor terms, allowances or cost pricing with Amazon.
    • Which Vendor Central interfaces and document types apply to your account is confirmed in scoping; they vary by programme.

What actually moves, and who owns it

A representative Vendor Central and Intacct scope. Documents and direction are confirmed per account before build.

Three decisions that make or break this integration

    Purchase orders and confirmation discipline

Amazon judges vendors on confirmation accuracy and fill. An inbound PO becomes a document your team works in Intacct, with quantities, costs and dates visible, so confirmations reflect what you can genuinely ship rather than an optimistic default.

    • Amazon PO number and window dates written to nominated Intacct fields.
    • Cost expectations compared against your agreed price so mismatches surface before invoicing.
    • Partial confirmations and substitutions handled as explicit decisions, not silent behaviour.
    • Unmapped items stop the line instead of guessing an Intacct item.

    Invoicing that matches what shipped

Most vendor invoice disputes come from a mismatch between the PO, the shipment and the invoice. Invoices are generated from posted Intacct documents and tied to the PO and shipment references, so you can defend a number rather than reconstruct it later.

    • Invoice built from the posted Intacct invoice so ledger and submission agree.
    • PO and ASN references carried through for traceability.
    • Rejections captured with Amazon's reason code and worked as exceptions.
    • Recurring rejection reasons raised as mapping or process changes.

Deductions and disputes with an audit trail

Chargebacks, shortage claims and allowances erode vendor margin quietly. Bringing that data into Intacct against the originating PO and invoice makes the deduction visible in the accounts, and gives your team something to dispute with.

    • Deductions posted to nominated accounts rather than netted invisibly against revenue.
    • Each deduction linked to the PO or invoice reference where the data allows.
    • Amounts you intend to dispute held in a review position rather than written off.
    • Whether remittance-level matching is available for your account is confirmed during scoping.

    Reliability and ownership

The operating rules that apply to this workflow after go-live.

    • Every posting is logged against the source order, document or settlement reference so finance can trace a ledger line back to the channel record.
    • Failed postings are retried on a defined schedule; anything still failing is held in an exception queue rather than posted partially.
    • Duplicate prevention keys on the source system's own identifier, so a replayed message cannot create a second transaction.
    • Exceptions are worked by the APIWORX team and escalated to your named finance contacts when an accounting decision is needed.
    • New SKUs, accounts, dimensions, fee types and deduction codes are handled as mapping maintenance inside the ongoing engagement.
    • Support windows and response commitments live in your agreement; this page does not state an SLA.

    How a document is traced

    Illustrative — not customer data

An illustrative reference trace across the Amazon vendor cycle and the Intacct ledger.

    How a document is traced
Amazon PO number Intacct sales document reference
Shipment despatch record Outbound ASN reference
Intacct posted invoice Vendor invoice submission reference
Amazon deduction code Nominated deduction account with PO reference

    Scope and questions

How is this different from Amazon Seller Central?
Vendor Central is wholesale: Amazon issues purchase orders and you invoice them. Seller Central is third-party selling with settlements and marketplace fees. The document flows and accounting are different, so they are separate pages.
Do you dispute chargebacks for us?
We surface deductions with their references so your team can dispute them. The dispute decision and submission are yours; what we provide is the data trail.
    Is remittance matching included?
Whether remittance detail can be matched at line level depends on the data available for your account, confirmed during scoping. We do not promise it in advance.
Can we run Vendor Central and Seller Central together?
Yes, many brands do. They are scoped as separate flows into Intacct with distinct accounts and dimensions so the two never blur.
